Travel Industry Sales Coordinator

TIS Coordinator

Under the general direction of the Director of Travel Industry Sales, the primary focus of the position is providing administrative and operational support for the Travel Industry Sales Department. Administrative activities include managing the Customer Relationship Management (CRM) system data entry for clients, FAMS and events as well as any additional projects associated with CRM. Working with Destination Services on FAM and site inspection itineraries, preparing amenity orders, research/reporting and other duties assigned by the department. The individual must have an understanding of all destination attributes and stakeholder assets and have an excellent working knowledge of Greater Palm Springs.

ESSENTIAL DUTIES, RESPONSIBILITIES, QUALIFICATIONS:

  • Fulfill administrative needs.
  • Understand travel industry sales goals, objective, and general destination information.
  • Assist Director of Travel Industry Sales in day-to-day projects, monthly reports, and special projects. 
  • Oversee and input all in-kind reporting into CRM to include Partner participation on FAM tours, site inspection, sales missions, trade shows, giveaways, etc.
  • Assist with follow-up from Director and/or sales manager sales activity or trade show by entering in account details, hotel leads, partner referrals, orders and tracers into CRM.
  • Design new searches in CRM database to help in cleaning up client data.
  • Work with Destination Services Department or sales manager on the organization of FAM tours and client site inspections.  
  • Track monthly mailings in CRM database through the inventory module.
  • Work directly with the CVB store room for fulfillment and shipping requests.
  • Maintain TIS inventory on a monthly basis and report the quantity of client gifts and international brochures, etc.
  • Attend site inspections, FAMS and Partner events when appropriate.
  • Ability to travel for attendance in sales missions, trade shows or sales calls if requested.
  • Assist with the reception desk and visitor inquires when needed.

National Sales Manager - Northeast and Eastern Canada

This sales position provides strategic account management and oversight of a specific sales territory with primary goals of developing and penetrating all assigned markets, lead distribution, driving new business, growing market share, as well as retaining existing clients. Additionally, the position will achieve and/or exceed established personal sales goals through active sales efforts. The individual must have a complete understanding of all destination attributes and stakeholder assets to represent the destination as a “local expert”.  The person must be organized, detailed, and professional, self-motivated and have an entrepreneurial spirit. Additionally, this person must be based in the Northeast Territory. (Managing Territories: Northeast & Eastern Canada)

ESSENTIAL DUTIES, RESPONSIBILITIES, QUALIFICATIONS:

  • Establish an overall strategic plan which includes detailed tactics for the assigned territory, to ensure individual goal achievement.
  • Conduct professional and unique site inspections of the Greater Palm Springs destination catered specifically to the needs of our customers.
  • Develop client relationships with new and existing customers.
  • Build and maintain a client database within the CRM SimpleView system. Maintain communication to ensure the destination remains “top of mind” for new and potential meeting professionals.
  • Solicit convention groups of all levels and sizes, understanding the need periods and demands of the destination.
  • Engage and understand the various local destination partners’ strengths, goals and objectives relative to your specific territory. 
  • Prepare and present formal sales presentations to existing and potential meeting professionals.
  • Conduct independent sales trips within the primary market as often as necessary to be successful.  Attend other meetings/conferences as required, which may involve travel.
  • Have a complete understanding of the CRM system to maximize time and knowledge of the accounts. 
  • Assist with preparing, organizing and conducting professional and unique familiarization tours, sales calls/missions and client events, which may involve CVB staff and destination partners.
  • Represent the Greater Palm Springs destination at regional and national professional conferences and events.
  • Maintain and develop your local hospitality “working groups” to meet with once a quarter and idea share about the market conditions, CVB convention sales programs and what could be initiated to continue growth and interest in the destination.

Convention Sales - Administrative Assistant

 

 

This position is responsible for providing administrative support for the national sales managers within the Convention Sales Department.  Sales and related administrative activities include managing the lead and booking process in the Customer Relationship Management system, processing; expense reports, purchase orders, booking validations, turn-over forms, preparing itineraries for site inspections, preparing amenity orders, research/reporting and other duties as assigned by the sales manager or department leadership.  The individual must have excellent communication, documentation skills and a working knowledge of Greater Palm Springs.

ESSENTIAL DUTIES, RESPONSIBILITIES, and QUALIFICATIONS:

  • Prepare professional and accurate correspondence.
  • A complete understanding of computer software, including but not limited to Microsoft Word, Excel and PowerPoint.
  • Maintain an understanding of procedures and policies through the department’s standard operating procedures.
  • Understand convention sales goals, objective and general destination information.
  • Process leads, bookings, lost business and cancellations for monthly and annual manager’s reports. Understand the various terms and definitions related to these functions.
  • Understand and maintain department computerized database (CRM) and file system.
  • Reporting experience is desired.  The CS admin will utilize the CRM reporting functionality, along with MS Excel to create reports as requested.
  • Provide suggestions and ideas on how to improve CRM and all sales related functions.
  • Assist managers with lead follow up from hotels to insure timely response back to clients.
  • Complete the Housing summaries after receiving TRC’s and prepare bid book.  Follow up with hotel if TRC not complete or proposal not correct.
  • Create and process bid books for clients as assigned by managers.
  • Provide interdepartmental assistance as assigned by management.
  • Trained to assist with reception desk and visitor inquires.

Destination Development Coordinator

Destination Development Coordinator

The objective of the Destination Development Coordinator is to enhance and expedite the Destination Development Plan initiatives. The Destination Development Coordinator works on the logistics and details of the specific programs to build a strong foundation and put strategies into place to accomplish the goals and objectives of the programs. The coordinator will work with internal departments, external partners and city representatives as guided by the VP of Destination Development.

ESSENTIAL DUTIES, RESPONSIBILITIES, and QUALIFICATIONS:

  • Understand the Destination Development Plan goals, objectives and programs.
  • Be familiar with the Marketing and Communications goals and have a general understanding of the destination.
  • Update the CVB’s Customer Relationship Management (CRM) to keep information current; data entry to update accounts, sales traces, business information, contact information, notes, and communications.
  • Supports the department by assisting in the gathering of partners, information, sponsors and promotions for specific Destination Development programs and marketing campaigns.
  • Assists the VP of Destination Development with meetings and events (i.e. setting up advisory committee meetings, media preview events, program launch events,  etc.) – venues, logistics, invitations, thank you communications, etc.
  • Assist with making calls out to partners, possible sponsors and participants in Destination Development programs.
  • Assist with development of the Marketing and Communications plan for each of the Destination Development projects, maintain associated media plan, schedules, timelines, recap reports.
  • Be familiar with photography and videography databases, able to assist in updating and sharing photo collections.
  • Be familiar with Basecamp, be able to answer any questions about Destination Development projects and be able to follow-up as necessary.
  • Assist with development and proofing of written articles for Destination Development programs on the website and in e-newsletters.
  • Fulfill administrative needs including filing, emails, travel arrangements, document preparation, mailings, expense reports, Destination Development information packets and presentations, weekly department reports, department accounting forms (purchase orders, check/credit card requests, weekly time report, time away from work, etc.), department monthly measure (board report) and the prioritization of the work calendar.
  • Track invoices in the department’s budget system in coordination with the CVB Accounting Department to keep track of department and project expenses and budgets
  • Assist with developing and maintaining master Destination Development calendar.
  • Provide interdepartmental assistance as assigned by management.
  • Maintains a current and in-depth understanding of the various functions of the CVB and the scope of work for each department.
  • Assists in discussions and production of Destination Development presentations, marketing, and communications materials.
  • Attends CVB related events and appropriate networking events as needed as a back up to the VP of Destination Development.
  • Exhibits a high level of customer service when working with partners, responding promptly to requests, phone calls and emails.
  • Serves as a resource and database for all departments as relates to community information.
  • Gathers certificates, giveaways, and other complimentary items to be used for the Destination Development programs.
  • Attends meetings as scheduled (i.e. weekly, quarterly, etc.)
